PENN TRAFFORD AREA RECREATION COMMISSION
POSITION DESCRIPTION, ASSISTANT TO THE DIRECTOR
The Assistant to the Director reports directly to the Recreation Director and assists the Director in providing parks and recreation services to communities served by the Penn Trafford School District Area.
Duties:
1. Front line customer service. Answer the phone, greet the public, dispense information.
2. Program registration. Process registrations, preparing and delivering program rosters, processing refunds, preparing registration reports.
3. Facility scheduling. Schedule program facilities and make-up dates.
4. Marketing and publicity. Advertise recreation programs throughout the communities and School District in a variety of ways; news releases, publicity flyers, posters, signs, emails.
5. Social media. Update Facebook page with current information on a continual basis.
6. Assist Director in researching program ideas. Discuss programs with Recreation Director for approval. Submit program information to be included in activity guide prior to deadline for printing.
7. Notify registrants of changes in program schedule, cancellations and make-up details.
8. Assist Director at special events as needed.
9. Enforce Commission policies as directed.
10. Attend meetings as necessary.
11. Represent the Commission at speaking engagements as needed
Qualifications:
1. Possesses the ability to communicate effectively both orally and in writing.
2. Possesses the ability to interact politely, tactfully and effectively with the general public, public officials, and co-workers.
3. Possesses the ability to make good judgments in stressful situations.
4. Proficient in the use of Microsoft Office, CivicRec, Canva and basic computer skills.
5. Possesses the ability to learn, communicate and enforce department policies and procedures.
6. High School diploma or equivalent.
7. Previous office experience preferred.
8. Previous administrative, clerical and customer service experience preferred.
9. Criminal History Background Check and Child Abuse Background Clearances required.
10. Valid driver’s license and transportation
Work Schedule:
Regular day will cover flexible hours from 9:00 am to 4:00 pm, Monday through Friday, with ½ hour for lunch, however, will be flexible to allow for evening and weekend programs, meetings and activities for a total of no more than 15 hours per week with the exception of covering Director Paid Time Off Days.
